How to create a free QR Code: complete guide from start to finish

Creating a QR Code takes less than a minute. Creating one that actually works — that scans first time, at the right distance, on the right material — takes a few decisions most tutorials skip. This guide covers the whole process, from picking the type to the final test.
Step 1: choose the right type
This is the most important decision and the one most people get wrong. Each type stores information differently, and the wrong type produces a poor experience even when the code scans perfectly.
- Lead to a website → link QR Code.
- Connect to your network → Wi-Fi QR Code.
- Receive a payment → PIX QR Code.
- Start a conversation → WhatsApp QR Code.
- Be saved to the address book → contact QR Code.
- Receive organised email → email QR Code.
- Work without internet → text QR Code.
- Lead to the right app store → app download QR Code.
A tip that saves rework: if the destination might change in future, choose the link type and point it at an address on your own site that redirects. That way you change the destination without reprinting anything.
Step 2: fill in the data carefully
A typo here causes the most damage, because it only shows up after printing. The fields that cause the most trouble:
- URL — include "https://" and test the address in a browser first.
- Phone and WhatsApp numbers — always with the country code. Dropping it is the most common mistake.
- Wi-Fi password — check uppercase and lowercase.
- Payment key — check character by character; an error here sends money to someone else.
Step 3: customise in moderation
Brand colors and a logo in the centre make material look more professional and increase trust. But every customisation consumes technical headroom:
- Keep the code dark on a light background. Inverted, it fails in several readers.
- Ensure real contrast. Grey on beige looks elegant and is unreadable.
- Small, centred logo. Up to about a fifth of the code width. Details in logo in a QR Code.
- Never cover the corners, where the position squares live.
Step 4: choose PNG or SVG
- PNG — a pixel image. For screen: social media, presentations, email, websites.
- SVG — vector. For print: cards, posters, packaging, stickers, banners. Scales to any size without losing sharpness, and it is the format print shops prefer.
Rule of thumb: printing, use SVG. Staying on screen, PNG is fine.
Step 5: size it for real use
Use the 10-to-1 rule: the side of the code should be at least a tenth of the scanning distance.
- Business card, scanned from 25 cm → minimum 2.5 cm.
- Table menu, scanned from 35 cm → minimum 3.5 cm.
- Wall poster, scanned from 1.5 m → minimum 15 cm.
- Event banner, scanned from 4 m → minimum 40 cm.

Step 6: test before publishing
The step most people skip and the one that prevents the most loss. Five minutes here are worth more than any earlier precaution.
- Scan it on the computer screen, to validate the content.
- Print a proof at real size, on the final paper.
- Test with an iPhone and an Android.
- Test at the real distance and in the real lighting of the location.
- Test slightly tilted — that is how people hold a phone.
- Confirm the destination is right: the site opens, the network connects, the payment name is yours.

Step 7: add context
A QR Code alone, with no explanation, gets scanned by far fewer people. Write beside it what it does: "Full menu", "Connect to Wi-Fi", "Save my contact". And where it makes sense, print the information in text too — for those who cannot or will not scan.
